Job description
Westman Lions Manor maintains an independent living facility (55+) which offers secure and affordable housing to support our residents’ quality of life.

SUMMARY OF POSITION:

The Executive Assistant is responsible for providing comprehensive support to the Executive Director and administering day-to-day office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Reporting to the Executive Director, the Executive Assistant is responsible for essential job functions including tasks relating to property management, financial transactions and administrative support. This position works collaboratively with the entire team.

Property Management
Provides information to prospective tenants
Administers the tenant waiting list
Manages the rental process
Attends to the collection and safe deposit of all rent monies and other amounts
Liaises with maintenance and cleaning teams to prepare suites for new tenancy
Maintain tenant files
Respond to maintenance requests

Financial
Accounts Receivable
Accounts Payable
Manage and balance trust accounts

Administrative
Answers and redirects phone enquiries
Greets and directs residents, visitors, and vendors
Manages in and outgoing mail
Maintains inventory of office supplies
Assists the Executive Director in developing policies and procedures
Attends Board Meetings and prepare minutes
Assists in organizing events and meetings including the AGM

JOB DETAILS:
35 hours per week
Weekdays
Permanent employment
Starts as soon as possible

Qualifications

QUALIFICATIONS:
Post-secondary education in business, business administration, or finance
Proven accounting experience; accounts payable & accounts receivable
Sound knowledge of basic accounting procedures
Property management experience
Excellent knowledge of MS Office
Strong verbal & written communications skills
Reliable, organized, detail oriented
Well-developed problem-solving skills
Exemplary planning and time management
Ability to multi-task and prioritize daily workload
Emphasis on customer service

A satisfactory Criminal Record Check and a Vulnerable Persons Check will be required for the successful candidate.
