Digitization Assistant

Overview

We are looking for 4 youths to join our team this summer as Digitization Assistants to help with the scanning of all hard copy documentation to PDFs for filing in the Document Management System (DMS) to improve the accessibility of information.

Qualifications

The ideal candidate will be highly-organized, motivated, and able to work effectively both independently and collaborating with others while maintaining consistent standards. Advanced English skills for a professional office environment, both spoken and written, are required. Advanced computer literacy and an aptitude for working with a variety of different software packages, particularly Adobe Acrobat and the Microsoft Office suite, are required. Must be able to lift and carry boxes weighing up to 30 lbs. While training will be provided, experience with printer/scanners, or digitization applications such as Adobe is considered an asset. Previous experience working or volunteering in a professional office environment is an asset. Candidates must be willing to undertake necessary training in digitization procedures and best practices for this project. Areas of responsibility include preparing, assembling and scanning hard copy documentation and storing in the correct digital folders, troubleshooting issues, verifying scanned copies and shredding hard copy documentation that is no longer required, and acting as the primary contact to internal stakeholders regarding scanned documentation and in searching for records.
This is an in-office contract position for initially for 12 weeks, with the possibility of extension of the term or permanent status, 40 hours a week with a rate of pay of $17.50 per hour. Anticipated start date is September 3rd, 2024.
This position is subsidized by Innovation, Science and Economic Development Canada (ISED) via the Canada Digital Adoption Program - Boost Your Business Technology Grant, thus the successful candidate must meet the following eligibility requirements:
• are a Canadian citizen or a permanent resident, or have refugee status in Canada;
• are legally entitled to work in Canada; and
• are between 18 and 30 years of age at the start of employment.
