Overview

West-Can HR is currently recruiting for an Administrative Assistant position working with Assiniboine Community College’s Students Association (ACCSA) in Brandon, MB.

Hours of work: Monday to Friday 8:00 am to 4:00 pm

The Administrative Assistant is a full-time staff member of the ACCSA and the first point of contact in the ACCSA Main Office for students. This position provides exceptional customer service accompanied by a professional and friendly attitude.

Among the most important responsibilities as an SA staff member, is to exemplify the SA spirit and encourage all students to get involved and take advantage of the services and opportunities provided by our organization.

Responsibilities:
• Serve as main point of contact for the ACCSA, address inquiries from students and assist or direct them as required.
• Answer the main office phone line and respond to email inquiries to the general ACCSA email
• Maintain a friendly and professional atmosphere for students, customers, and stakeholders.
• In collaboration with various partners, create and maintain a current directory of service providers and resources for students, such as health practitioners, housing options, and tutors.
• Provide service & support for Student Clubs, such as facilitating room & key rentals, receiving and printing of club documents, club withdrawals and deposits.
• In conjunction with the designated Insurance Broker, provide administrative support to ensure the effective delivery of the Student Health & Dental Insurance Plan.
• Ensure a daily schedule is kept up to date and actively shared with other staff members.
• Edit, maintain, and create standard operating procedures, forms and reports as needed to ensure efficient internal operations.
• Support the external bookkeeper by providing light day to day bookkeeping and financial duties as required.
• Ensure timely and accurate communication through college email, phone, Microsoft Teams, and regularly scheduled meetings.
• Attend Board and Committee meetings as requested by the Executive Director to provide support, such as taking and preparing minutes & agendas.
• Maintain a competent awareness and understanding of all ACCSA services & programs in order to answer questions from students and community members.
• The Administrative Assistant will be called to meaningfully contribute to group projects & initiatives on a regular basis, including large event initiatives.

Knowledge, Skills, and Ability Requirements
• Minimum 2 years of Post-Secondary level education in a relevant discipline such as business, office skills, and customer service, or equivalent combination of education and/or experience.
• Ability to communicate clearly in a kind and confident manner, both verbally and in writing.
• Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
• Previous experience with QuickBooks Online an asset
• Proven organizational skills with the ability to keep a multitude of details and information organized and at the ready.
• Proven aptitude for learning quickly, problem solving and multitasking.
• Ability to confidently and professionally work with customers and vendors.
• Must have/maintain a dependable vehicle with proof of license and insurance.
