The Office Administrator will provide day to day support to Office Managers, Regional VPs and other Staff Members in business units spanning Manitoba, Saskatchewan and Alberta, bringing efficiency and seamless operation to these centers. The Office Administrator will support the activities of Operations Team on a day-to-day basis and act as the “go-to” person for staff members in these regions.

This individual is an approachable and energetic individual who enjoys problem solving and is inherently cooperative; keen to help others in the day to day operation of the office and business activities. A strong communicator, with exceptional written and verbal communication skills, the Office Administrator will take ownership of all assigned job duties, meeting deadlines throughout the monthly accounting cycle and meeting company standards and procedures.

What you'll get to do as an Office Administrator with Colliers Project Leaders:

•Receive and greet visitors in a friendly manner.
•Handle the Company telephone voicemail system and provide coverage of the reception area during office hours as needed.
•Provide administrative support to the Office Manager, including coordinating incoming and outgoing mail and couriers, sending and receiving general office correspondence, preparing and assembling documents and assisting with administration of all office functions as required.
•Act as an administrator of Company’s wellness benefits program.
•Ensure the office environment is clean, orderly and professional in appearance at all times.
•Support Quality Assurance processes as delegated by the Quality Assurance Delegate.
•Provide administrative and clerical support to Regional Vice President(s), Principal(s) and all project staff.
•Ensure the consistent and uniform application of the Company’s standards for all tasks undertaken.
•Maintain a suitable inventory of all appropriate office supplies.
•Provide administrative support to accounting functions as delegated by the Operations Manager.
•Research, book and manage travel arrangements for all regional staff.
•Manage the region’s petty cash and reconcile it on a monthly basis.
•Complete month end administrative duties such as company car and photocopier logs ensuring deadline is achieved as per the Corporate Accounting Schedule.
•Track and follow up on completion of staff weekly and monthly timesheets ensuring deadline is achieved as per the Corporate Accounting Schedule.
•As needed, request insurance and Worker’s Compensation certificates for projects and proposals.
•Other administrative functions as required by the position and delegated by Office Managers, the Director of Operations or Reginal VPs.

What you'll need to be successful in the role:
•A minimum of 1 - 3 years’ experience in an administrative capacity.
•Post-secondary diploma or degree in administration, business, accounting, commerce or similar discipline (or an equivalent combination of education and experience).
•Excellent communication, listening and organizational skills.
•Superior interpersonal skills and approachable nature.
•Enhanced computer skills in the following software applications: Microsoft Office (Outlook, Word, Excel, Power Point).
•Familiarity with SharePoint, Concur and/or MS Dynamics an asset but not required.
•Developed analytical, decision making and problem-solving skills.
•Ability to manage competing priorities in a busy office environment.
•Highly cooperative, a willingness to assist others and take on new responsibilities.
•Ability to build and maintain effective working relationships with a variety of team members across geographic locations.
•A high degree of personal responsibility and accountability.
•Strong attention to detail and a proactive nature.
•Self-motivation and ability to take initiative to complete tasks.
•A sense of urgency and ability to meet deadlines.
•Ability to exercise good judgment, tact and diplomacy.

Working Conditions

Hours of work are 8:00 a.m. to 5:00 p.m. Monday to Friday, and it is essential that the Office Administrator be in attendance during these hours. This role may be subject to additional hours based on office demands.

The position may require some short-term travel outside of the office to other Business Unit offices on an as needed basis, however will be minimal.
