VISITOR EXPERIENCE & VOLUNTEER COORDINATOR (YCW) May 09-September 2, 2022

Overview

Reporting to the Operations Manager, the successful candidate will provide service excellence, develop a volunteer program, and support the summer staff in charge of visitor experience. As part of a small and supportive staff team, the Visitor Experience & Volunteer Coordinator will show their ability to multitask, be flexible and supportive to the team efforts while developing their coordination and leadership skills and their knowledge of the heritage and tourism sector in a rural setting.
Duties
Visitor Experience
The Visitor Experience & Volunteer Coordinator will assess visitor experience at the Manitoba Agricultural Museum, including facilities, exhibits and open storage, programming offer and welcoming procedures. Working closely with the office team and front-line staff, they will work towards their betterment. They will:
o Hold the reception duties in the office and answer/direct inquiries over the phone and in person.
o Support the summer staff team, including Programming Officers and Guest Services Officers.
o Review and assess welcome desk procedures and duties and recommends changes where applicable.
o Take payments from members, campers and visitors when required, keep track of museum attendance, and manage.
o appropriate files.
o Monitor bookings of school programs and rentals as required.
o Contribute to the development of educational and interpretive initiatives by supporting the work of Programming Officers.
Volunteer Coordination
The Visitor Experience & Volunteer Coordinator will act as main point of contact for the Manitoba Agricultural Museum members and volunteers. They will formalize a Volunteer Program to streamline procedures, build a recognition program and strengthen volunteerism at the museum.
o Communicate with volunteers and schedule them for museum events; work with the MTRS organizing committee in scheduling volunteers for the event.
o Organize the physical and digital files of the museum volunteers.
o Identify strengths and weaknesses of the current volunteer program and work in improvements.
o Develop, along with the Executive Director and with the support of the Board of Directors, a Volunteer Recognition Program.
o Identify avenues for volunteer recruitment.
Other Duties
o Participate in the daily duties for museum/grounds opening, gift shop sales, events support.
o Support the Administration and Finance Services Coordinator and the MTRS Committee in the planning and coordination of the Manitoba Threshermen’s Reunion & Stampede.
o Other duties as assigned.

Qualifications

Qualifications
o Completion of high school and strong interest in one of the following fields: history, heritage, not-for-profits, hospitality and/or tourism.
o Outstanding customer service and communication skills and a desire to assist others over the phone and in person.
o Attention to detail, ability to organize, multi-task, adapt, and work under pressure in a fast-paced and changing environment.
o Willingness to learn and execute proprietary data entry.
o Experience with Microsoft Office (Word, Excel, and Outlook). Experience with online booking systems or willingness to learn.
Assets
o Experience working with volunteers and/or as a volunteer.
o Experience working in an office environment and/or in a museum or a not-for-profit organization.
o Ability to speak additional languages.
Conditions of Employment
o Hourly wage: $15.
o Dates of employment: May 09, 2022 to September 02, 2022
o Regular work week is 40hrs from Tuesday to Saturday or Sunday to Thursday.
o Flexibility is required from all staff to ensure the museum can open 7 days a week. Full availability is required during the MTRS week, last week in July.
o Must hold a class 5 licence since the museum is not accessible with public transportation.
o We have a campground available, if necessary
o We have a campground which can be made available, if necessary.
o This position is funded through the Young Canada Works in Heritage Organizations program. Candidates must verify they meet the program’s eligibility requirements before they are offered an interview.
