Overview
This position will report to both the Assistant Superintendent of Student Services and Wellness, and the
Assistant Superintendent of Academic Programs and Instruction, and will be responsible for providing
administrative supports and services for these departments.
DUTIES AND RESPONSIBILITIES (include, but are not limited to):
• Provides confidential administrative support to the Assistant Superintendent’s and other Department
staff, including preparing correspondence and reports
• Maintains department schedules and assists with arranging conference room bookings, meetings,
travel, vehicle booking, catering and accommodations
• Ensures all personnel-related forms are completed and submitted to the appropriate Division
departments
• Completes visa reconciliations and orders and maintains departmental supplies
• Supports the organization of department related events and professional development, which may
include on-site at professional development activities across the Division
• Maintains electronic and hard copy records and departmental resources
• Prepares correspondence and materials for the department as directed
• Assists Administrative Secretarial staff with incoming/outgoing Division Office mail, switchboard and
reception relief.

Qualifications
QUALIFICATIONS:
• Post-secondary administrative and/or business training from a recognized educational institution or an
acceptable combination of training and experience
• Two years of successful administrative experience
• Knowledge of basic accounting
• Proficiency in a variety of computer applications i.e., Office 365, an integrated payroll, HR, finance and
purchasing software, etc.
• Excellent written and verbal communication skills
• Ability to exercise initiative and judgment in determining work priorities
• Strong problem-solving skills, excellent organizational skills and attention to detail
• Ability to work independently and collaboratively with others
• Ability to travel to Division communities, including overnight stays
